But all that has changed in recent years. There’s now a great variety of cloud-based accounting software designed especially for small businesses, all of which help to make it easier to manage your finances.

 

The options listed below all offer online bookkeeping and accounting software, along with the ability to send invoices, track expenses, and access financial reports. The difference comes with the additional services that layer on top of these to further simplify and automate your business.

 

These services can include estimates and inventory management, payroll, project management and time tracking, the ability to take payments, and automatic bank connections and reconciliation. Not all platforms do everything, but this list includes some of the best-known options to help you narrow down your search.

FreeAgent

As well as all the standard features, FreeAgent includes the ability to send estimates, run payroll (at no extra cost) and connect to your bank account to sync transactions and see real-time cashflow.

 

FreeAgent also offers a mobile app and simple project management software, allowing you to track your time and tasks, alongside the invoices, expenses and estimates for each project. Any invoices you issue can be paid online via integrations with PayPal, GoCardless or Stripe, and you can also provide your accountant or bookkeeper with access to your account.

 

In the US, FreeAgent costs $24/mo or $240/yr. In the UK, it is £19/mo or £190/yr for sole traders and £29/mo or £290/yr for limited companies.

FreshBooks

Freshbooks has different plans to meet your needs. Lite is $15/mo or $162/yr for up to 5 clients and basic features. Plus is $25/mo or $270/yr for up to 50 clients and additional features such as bank reconciliation and the ability to invite your accountant. Premium is $50/mo or $540/yr for unlimited clients and project tracking.

 

 

They offer a 30-day free trial and 60% off your first six months plus 10% off your first annual payment. It is also available in the US, UK, Ireland, Australia and France.

 

 

Quickbooks

 

Quickbooks logoQuickbooks allows you to run your whole business in one place and includes everything from inventory to invoices, and projects to people. It claims to be used by 4.5 million businesses worldwide.

 

Features include easy mileage tracking, snap and store receipts, payments via PayPal and GoCardless, employee payroll software and real-time bank account feeds. Its app marketplace provides access to 100s of other integrations and services.

 

Its plans start with Self-Employed for $15/mo, which includes income & expenses, tax estimates, invoicing, mileage tracking and basic reports. Simple Start is $25/mo and also includes cash flow, estimates, sales tax, tax deductions and contractors. Essentials is $40/mo for 3 users and the additional ability to pay bills and track time. Plus is $70/mo for 5 users, inventory tracking and project profitability.

 

Quickbooks offers either the option of a one-month free trial or 75% off your first four months. It is available in multiple countries.

 

 

Wave

 

Wave logoWave is designed for entrepreneurs and small businesses, and is completely free to use. It includes accounting software that you can connect to your bank account, invoicing and receipt scanning (via a mobile app), and promises no set-up fees, hidden charges or monthly fees.

 

The only costs are pay-per-use for online payments, for example, 2.9% + 30c per transaction in the US for credit card processing. They also offer paid payroll services in the US and Canada only.

 

If you are looking for free basic accounting software and don’t accept many payments, then Wave might just be the answer. You can grant collaborator access to your accountant or bookkeeper as needed to ensure that you complete all your returns as required.  

 

Wave is available in the US, Canada, Australia, New Zealand and various countries across Europe.

 

 

Xero

Pricing options begin with Starter at $11/mo. This allows you to send 20 invoices, enter 5 bills and reconcile bank transactions. The Growing plan is $32/mo for unlimited invoices and bills. Established is $62/mo and allows you to use multiple currencies, track projects and claim expenses.

 

Xero is available in many different regions across the world and has a 30-day free trial. They offer 50% off for the first 2 months.

 

 

Zoho Books

 

Zoho Books logoZoho offer a vast array of powerful software options to run your entire business, including Zoho Books online accounting software. Its intention is to help you manage your finances, automate your business workflows and work collectively across teams.

 

Key features include a client portal to allow your customers to view their transactions in one place, project and time tracking, inventory management, and automation of common business workflows.

 

Zoho Books is free for businesses with revenue <$50k pa and offers access to 1 user plus their accountant, up to 1k invoices pa, client management, invoicing, a client portal, payments, mileage tracking and more.

 

Their Standard plan is $20/mo or $180/yr and includes 3 users, up to 5k invoices pa, recurring expenses, bank connections, project tracking, timesheets and additional payment gateways. Professional is $50/mo or $480/yr for 5 users and additional features.

 

Zoho Books offers a 14-day free trial, and is available in the US, Canada, UK, Australia, South Africa and various countries across Asia and the Middle East.

 

 

Crunch

 

Crunch Accounting logoCrunch is a UK-based hybrid software and accountancy services model that provides you with both a free accounting platform and access to accountants depending on your plan.

 

Their simple online accounting software is aimed at contractors, freelancers and small businesses and is free to use. It includes unlimited expenses and invoices, easy bank reconciliation, and receipt scanning and mileage apps.

 

In addition, their sole trader and limited company packages come with all the support you need from their team of client managers, plus expert advice from chartered certified accountants.

 

The Pro Sole Trader plan starts from £24.50/mo and also includes unlimited accountancy support, HMRC registration, self-assessment submission and a dedicated client manager. Pro Limited Company costs from £71.50/mo and also includes year-end accounts, VAT, Corporation Tax and company filings. Premium Limited Company starts from £109.50/mo to also include your self-assessment and IR35 solutions.
